Solvay LifeLong Learning is looking for a full-time Education Support Specialist with great organisation skills and customer-oriented mindset (English and French) for its Executive Education programmes, on and off-line.

The activity of Solvay Lifelong Learning is closely connected with Solvay Brussels School of Economics & Management (SBS-EM) inside the Université libre de Bruxelles (ULB).

Purpose and description of the role

The role is to be responsible for the delivery of programmes and events both online and in the classroom.

Supported by a full briefing from the Programme Manager, he/she will be responsible for organising the courses and/or activities related to the programmes entrusted to him/her.

Programme & Events Delivery:

The role is to be the ambassador of the programmes entrusted to him or her and is responsible for the satisfaction and quality of service offered to the clients and stakeholders (professors, programme managers, academic directors and partners) of the programmes. He/she is in charge of the:

  • Reception, interaction, availability, attendance of participants and faculty;
  • Programme management in the Learning Management platform Canvas (set-up & course administration);
  • Management of the teaching staff (booking, schedules, wishes);
  • Production & distribution of faculty and student handbooks;
  • Booking of infrastructure (premises, hosting, catering, teaching materials, etc.);
  • Preparation and Organisation of the infrastructure and logistics of the courses (course materials and IT, setting up the premises, teachers' wishes, etc.);
  • Organisational communication towards participants and teaching staff;
  • Management and redirection of requests from participants;
  • Organisation of course-related activities (seminars, group work, visits, panels, exams, workshops, coaching, etc.), both online, hybrid and offline. The coordinator is present during the delivery of the programmes entrusted to him/her, evenings & Saturday presence when needed;
  • Responsible for the all administrative tasks related to the programme (cost, suppliers invoices, reporting, suppliers contracts);
  • Administration of evaluations (sending, collecting, reporting).

Contribution to the organisation:

S/he (pro-)actively participates in the life of Executive Education and its continuous improvement through:

  • Supports digital development and solutions for digital and blended courses;
  • Is part of the delivery team, contributing to student success;
  • Supports the organisation of global info-sessions;
  • Is involved in various cross-cutting projects.

Requirements

Skills specifications:

  • Digital fluency and interest for digital learning;
  • Relevant IT software skills (Office suite or alike) and hardware skills (Digital Learning Hybrid set up, audio-visual equipment, cable management);
  • Pedagogical sensibility;
  • Fluency in spoken and written English and French. Dutch is a plus;
  • Customer-oriented mindset;
  • Outstanding interpersonal skills;
  • Rigorous Organisational competences;
  • Capacity to interact with demanding stakeholders and to build strong relations within a multicultural environment;
  • Ability to take on initiatives, prioritize and work under set deadlines;
  • Ability to work independently and in a team.

Profile and experience:

  • Bachelor degree;
  • Experience in either hospitality, event management or office management is a plus;
  • Experience in multi-tasking, operational positions;
  • Willing to work from Tuesday to Saturday and flexibility to work in the evening and week-end, when requested;
  • Availability to coordinate residential seminars outside Brussels;
  • Knowledge of the executive education sector is a plus;
  • Experience in a demanding business environment is an asset;
